Position Overview
The Foundation for Enhancing Communities (TFEC) is searching for a Team Member reporting directly to the Controller whose primary purpose is to assist the Controller and the Chief Financial Officer in maintaining the integrity of TFEC accounting practices. This is accomplished by the accurate and timely implementation of all the day-to-day activities, which allows the Foundation to meet all fiduciary responsibilities. These day-to-day activities can be categorized in the following manner: finance; office administration and technology.

As Assistant Controller, you will:

  • Acts as liaison between the Foundation and all fiscal sponsorships. Meeting all their financial and accounting needs
  • Enters all Project check request (accounts payable) into the system and ensures that check requests are accurate and signed by the appropriate check signer. Coordinating with the Director of Philanthropic Services when questions arise.
  • Enters all assigned contributions into the system and ensures that the donor information is accurate and that their contribution is appropriately applied.
  • Enter Pledges made via PayPal into Foundant. Updates and reconciles monthly with the excel spreadsheet. Coordinates effort with Philanthropic Officer attending monthly/quarterly meetings as scheduled.
  • In addition to PayPal pledges - processes all other PayPal donations tracking all PayPal donations via excel spreadsheet. (note: auditors may request to see this during their annual review)
  • Prepares various journal entries, which then are entered into the Foundation’s accounting software. From time to time, this could be the monthly change in value for the Foundation’s Charitable Remainder Unit Trusts, Custodian Bank’s and Outside Investment Agreements.
  • Follows best practices for the 1099 process - acquiring 1099 where applicable before checks are released. Preparing and filing 1099’s for all appropriate clients (TFEC & Management Agreements).
  • Records sales tax on the quarterly excel sheet - updating the sales tax report sheet when necessary and before quarterly tax payment are processed.
  • Weekly process all Stripe donations in the Till. Verifying with the Stripe Fund that donations are updated accordingly and that the Fund has a zero balance when all Till transactions are processed.
  • Assists the Controller with special fiscal sponsorships, which may arise pertaining to finance, human resources, office administration and technology.
  • Acts as liaison between the Foundation and the Management Agreements as assigned.
  • E-mail and or mail out the Foundation’s fund statements on a semi-annual basis.
  • Provide minimal administrative support to the Controller/Chief Financial Officer at times when certain mailing, filing and copying fiscal sponsorships arise.
  • Assist the Controller in keeping policy and procedures updated for the accounting team.
  • Plays an integral role before, during and after audit time working directly with the Controller as well as any representatives from the Foundation’s auditing firm.
  • And all other duties as assigned.

Qualifications:

Education equivalent to a bachelor’s degree in accounting or equivalent experience.

  • Five years or more in an accounting or business role or related professional experience preferably within a nonprofit agency.
  • Outstanding analytical skills, written and oral communication skills; ability to think and act independently and to explain alternatives clearly.
  • General knowledge of GAAP principles, specifically those pertaining to nonprofit agencies.
  • Project management skills.
  • Elite computer skills, experience with the Microsoft Office Suite as well as the ability to comprehend and become an expert user of the Foundation’s software package (Foundant).
  • Experience in working with boards and committees in nonprofit organizations.
